Edit a Quick Assignment
You can edit certain aspects of an assignment depending on where it is in the assignment life cycle. This article will explain how to edit an assignment and which fields are available for editing.
- Click Assignments in the left navigation to see the Manage Assignments page
- If you manage more than one learner audience, make sure to select the appropriate audience from the dropdown in the upper left
- Click the assignment you want to edit
- Click the Edit Assignment button in the top right corner of the screen
- The following fields will appear in the form, with certain fields greyed out depending on which status the assignment is in:
Assignment Name Editable: Scheduled
Not Editable: Started, Archived- Assignment Name can only be edited before the Invite Start date
Training Period Editable: Scheduled
Not Editable: Started, Archived- Training Period can only be edited before the Invite Start date
Learning Activities Editable: none
Not Editable: Scheduled, Started, Archived- Learning Activities cannot be edited once an assignment has been created. To change the learning activities, deactivate the assignment and create a new one.
Invite Template Editable: Scheduled
Not Editable: Started, Archived- Invite Template can only be edited before the Invite Start date
Invites Start* Editable: Scheduled
Not Editable: Started, Archived- Invites Start can be edited to be earlier or later as long as it has not already passed, but it cannot be edited to a date that is in the past
Due Date* Editable: Scheduled, Started
Not Editable: Archived- Due Date can be edited as long as the Archive Date has not passed, including to a date that is in the past. Even if the Due Date has already passed, you can edit the due date to a date in the future to give more time to your learners; learners will no longer be marked Past Due until the new Due Date has passed.
Archive Date Editable: Scheduled, Started
Not Editable: Archived- Archive Date can be edited as long as it has not already passed, but it cannot be set to a date that is before the Due Date.
Reminders Editable: Scheduled, Started
Not Editable: Archived- Reminders (Reminder Template & Schedule) can be edited as long as the Archive Date has not passed
Advanced Settings Editable: none
Not Editable: Scheduled, Started, Archived- Disable Surveys and Disable Supplemental Question Set Surveys cannot be edited once an assignment has been created. To change these settings, deactivate the assignment and create a new one.
- You CAN choose to archive the assignment immediately from this section by clicking the Archive Assignment button. This can be done while the assignment is in Scheduled or Started (including Past Due) status.
Note: In the course Equity, Acceptance, and Respect: Global Harassment and Discrimination Prevention, if you are trying to disable surveys upon setting up your assignment, and receive the error message "Contents cannot be a survey or have a survey within a group if it is skipped", it is because surveys are built into this course and you cannot disable them.* = Different for Automated Assignments
- Once you have made your changes, click the Update Assignment button at the bottom of the form
Add Learners to a Quick Assignment
New learners can only be added to existing Quick Assignments if the assignment status is Scheduled, Started, or Closed, and if the Archive Date is still in the future.
- Click Add Learners to select which learners you want to add to this assignment. You can search for and add individual users or use the filters at the top of the page.
- Click Save when all the users you want are selected.
Unassign Learners from a Quick Assignment
Learners can be unassigned from assignments if the assignment status is Scheduled, Started, or Closed.
- Search for a user who you want to unassign or use the filters at the top of the page to look for a segment of learners
- Select the checkbox to the left of their name
- Click Unassign and repeat for additional users
