Edit an Automated Assignment

Learn how to edit an automated assignment. 

You can edit certain aspects of an assignment depending on where it is in the assignment life cycle. This article will explain how to edit an assignment and which fields are available for editing. 

  1. Click Assignments in the left navigation to see the Manage Assignments page

  2. If you manage more than one learner audience, make sure to select the appropriate audience from the dropdown in the upper left

  3. Click the assignment you want to edit

  4. Click the Edit Assignment button in the top right corner of the screen

  5. The following fields will appear in the form, with certain fields greyed out depending on which status the assignment is in:

    Assignment Name Editable: Scheduled
    Not Editable: Started, Closed, Archived

     

    • Assignment Name can only be edited before the Automation Begins date
    Training Period Editable: Scheduled
    Not Editable: Started, Closed, Archived

     

    • Training Period can only be edited before the Automation Begins date
    Learning Activities Editable: none
    Not Editable: Scheduled, Started, Closed, Archived

     

    • Learning Activities cannot be edited once an assignment has been created. To change the learning activities, deactivate the assignment and create a new one.
    Selection Criteria Editable: Scheduled
    Not Editable: Started, Closed, Archived

     

    • Selection Criteria can only be edited before the Automation Begins date
    Invite Template Editable: Scheduled
    Not Editable: Started, Closed, Archived

     

    • Invite Template can only be edited before the Automation Begins date
    Automation Begins* Editable: Scheduled
    Not Editable: Started, Closed, Archived

     

    • Automation Begins can be edited to be earlier or later as long as it has not already passed, but it cannot be edited to a date that is in the past
    Automation Stops* Editable: Scheduled, Started, Closed
    Not Editable: Archived

     

    • Automation Stops can be edited as long as the Archive Date has not passed
    Due Duration* Editable: Scheduled, Started, Closed
    Not Editable: Archived

     

    • Due Duration can be edited as long as the Archive Date has not passed
    Archive Date Editable: Scheduled, Started, Closed
    Not Editable: Archived

     

    • Archive Date can be edited as long as it has not already passed, but it cannot be set to a date that is before the Automation Stops date
    Reminders Editable: Scheduled, Started, Closed
    Not Editable: Archived

     

    • Reminders (Reminder Template & Schedule) can be edited as long as the Archive Date has not passed
    Advanced Settings Editable: none
    Not Editable: Scheduled, Started, Closed, Archived

     

    • Disable Surveys and Disable Supplemental Question Set Surveys cannot be edited once an assignment has been created. To change these settings, deactivate the assignment  and create a new one.
    • You CAN choose to deactivate the assignment immediately from this section by clicking the Stop Automation or Archive Assignment button. This can be done while the assignment is any status (Scheduled, Started, or Closed).

    Note: In the course Equity, Acceptance, and Respect: Global Harassment and Discrimination Prevention,  if you are trying to disable surveys upon setting up your assignment, and receive the error message "Contents cannot be a survey or have a survey within a group if it is skipped", it is because surveys are built into this course and you cannot disable them.

  6. Once you have made your changes, click the Update Assignment button at the bottom of the form

Add Learners to an Automated Assignment

Since learners are added to automated assignments based on selection criteria, you are not able to manually add a learner to an automated assignment. If a learner needs to receive the training but has not been included in the assignment, you have two options to ensure your learners get access to the course:

  1. Review the selection criteria for your automated assignment and then edit the learner’s user profile (e.g. their Location, custom labels, etc) such that they fit the selection criteria. They will be automatically added to the assignment the following evening when the automated assignment runs its nightly batch process.
  2. Create A Quick Assignment containing the same learning activities and add your learner to the quick assignment.

Unassign Learners from an Automated Assignment

Learners can be unassigned from assignments if the assignment status is Scheduled, Started, or Closed.

  1. Search for a user who you want to unassign or use the filters at the top of the page to look for a segment of learners

  2. Select the checkbox to the left of their name

  3. Click Unassign and repeat for additional users
